About Genesis Counseling
Genesis Counseling is a large mental health group private practice with 5 locations across South Florida, along with virtual services provided statewide. We are dedicated to integrity, authenticity, and excellence in client care, and we are seeking a detail-oriented and compassionate Intake Specialist to join our team.
This role is essential in supporting our mission to provide quality mental health care and in creating a welcoming, supportive first experience for new clients. The Intake Specialist will manage client intake processes, handle a high volume of calls, verify insurance benefits, and coordinate across multiple locations with over 50 clinicians.
Key Responsibilities
- Client Intake & Scheduling
- Answer and manage a high volume of intake calls with professionalism, warmth, and empathy.
- Gather, verify, and document client information, including presenting concerns, preferences, and scheduling needs.
- Match clients with clinicians across multiple office locations and specialties, ensuring the best clinical fit.
Insurance & Billing Support
- Verify insurance benefits and communicate coverage details clearly to clients.
- Prepare and submit insurance claims accurately and in a timely manner.
- Handle billing inquiries and resolve payment or claims-related issues in collaboration with the billing team.
- Maintain up-to-date records of client billing and insurance information.
Practice Knowledge & Team Collaboration
- Develop and maintain familiarity with all Genesis Counseling clinicians, their specialties, and areas of expertise.
- Coordinate scheduling across a growing, multi-location practice with over 50 clinicians.
- Collaborate closely with the clinical, billing, and administrative teams to ensure a seamless client onboarding process.
Client Experience & Professionalism
- Provide a personable, compassionate, and welcoming first impression for clients.
- Maintain confidentiality and adhere to HIPAA regulations at all times.
- Demonstrate strong multitasking skills in managing calls, documentation, and communication simultaneously.
Qualifications
- Experience in medical or mental health intake, billing, or coding preferred.
- Strong understanding of insurance processes and claims management.
- Ability to manage and prioritize a high volume of incoming calls.
- Excellent interpersonal and communication skills; personable, empathetic, and client-focused.
- Proficiency with Electronic Health Records (EHR) systems, billing software, and Microsoft Office/Google Suite.
- Highly organized, detail-oriented, and able to work independently with urgency.
- Experience with mental health clients and/or healthcare field preferred.
Schedule & Time Off
- Hours: Monday–Friday, 9:00 AM – 6:00 PM with a 1-hour lunch break.
- Location: Virtual, work-from-home position.
